Do you screen your virtual assistants?

Absolutely. We conduct a rigorous screening process, which includes a resume review, a detailed experience questionnaire, two rounds of interviews, reference checks, and a background check.

What qualifications do your virtual assistants have?

Our assistants are specialists, not generalists. We hire experienced professionals in fields like marketing, administration, and paralegal services. All our virtual assistants hold bachelor’s degrees from accredited universities.

Subscription Plans & Pricing

How do Equivity’s subscription plans work?

We offer monthly and annual subscription plans based on the number of service hours you need. Monthly plans include options for 5, 10, 15, 30, or 50 hours, while annual plans cover your needs for the entire year at a discounted rate.

How do I pay for my subscription?

Subscription fees are automatically charged to the credit card on file. You can update your payment details anytime through your account settings.

When does my subscription start, and how does it renew?

Your subscription begins once you’ve opened an account, selected a subscription plan, and successfully processed payment via a credit card on file. For most services, subscriptions automatically renew on the last day of each period unless you notify us of your intent to terminate before the renewal date. Once charged, subscription fees are non-refundable. 

Do you offer annual plans?

Yes, annual plans are available for administrative, marketing, paralegal, and receptionist services.

What is a virtual paralegal?

No, we only work with licensed attorneys.

What is the average tenure of your virtual paralegals?

Our paralegals typically stay with Equivity for over a year, and many work with the same clients for multiple years.

How can I be sure a virtual paralegal is a good fit? Can I give them a test assignment?

We offer a five-hour plan for $299/month, which you can use to evaluate the paralegal’s performance before committing to a larger plan.

Do I need to provide training to my virtual paralegal?

Our paralegals are experienced in your practice area. However, if your office has specific procedures, the paralegal will log the hours required for this training.

Do I need to provide software for my virtual paralegal?

Equivity provides Microsoft Office for document sharing via OneDrive or SharePoint. For specialized tools, such as Clio or Westlaw, you’ll need to provide access.

What is the turnaround time for one-time projects?

A virtual receptionist works remotely, offering the same services as an in-house receptionist. Our trained receptionists answer calls, take messages, and transfer calls, delivering top-notch customer service just as an on-site team would.

How does an Equivity Virtual Receptionist work?

After you complete the intake form and provide call-handling instructions, we’ll set up your account. Our receptionists will greet callers professionally, following your specific preferences. Depending on your plan, they can take messages, transfer calls, and answer FAQs, all available 24/7. After each call, you’ll receive a detailed summary via email or SMS with the caller’s name, number, and reason for calling.

What hours are your virtual receptionists available?

Our virtual receptionists are available around the clock, 24/7/365. Whether you need daytime coverage, backup for missed calls, or after-hours support, we’re here to assist based on your requirements.

How will the virtual receptionist know how to respond to our calls?

Receptionists follow your instructions from the intake form, ensuring that calls are handled in line with your preferences.

Can I use my existing business number?

Yes! Simply forward your calls to the number provided on your intake form to continue using your current business number with our receptionist services.

Are virtual receptionist services subject to tax?

Sales tax may apply based on your location.

Are there additional charges for virtual receptionist services?

Yes, some actions incur extra fees:

  • Adjustments to call scripts, handling processes, or on-call schedules count as one call.
  • Follow-up or outbound calls, re-paging/texting, patching/transfers, and courtesy calls (billed as inbound calls).
  • Overage charges for minutes beyond your base plan, reflected in your next invoice.
  • An unscheduled closing fee of $50–$200 per location if your office closes without 3 business days’ notice.
What happens to unused minutes in my plan?

Unused minutes do not roll over; each month’s minutes reset at the start of a new cycle.

How are call durations calculated?

Call durations are rounded up to the next minute.

Can Equivity provide a business phone number?

Yes, we can provide a dedicated business number for $4.99–$10 per month. We’ll aim for your preferred area code, though availability may vary. The number can be transferred to you upon cancellation if monthly fees are paid.

How does my plan renewal work, and can I change my plan?

Your plan renews monthly on the same date. For downgrades, notify Equivity at least one business day before renewal. Downgrades take effect in the next cycle, but upgrades can be requested within three days after renewal.

Staffing

How does the cost of your service compare to traditional staffing agencies or in-house hiring?

Our service can be up to 40% less costly, as there are no expenses for salaries, recruitment fees, or agency fees.

What sets your hiring process apart from traditional staffing?

We offer a faster, more flexible hiring process, letting you tailor your workforce with ease.

What’s the deposit policy for staffing services?

A refundable $1,000 deposit per position is required, credited toward your first month if the candidate matches the job scope.

How are the hours scheduled?

Staff follow a set schedule based on the plan’s hours (e.g., 4 hours daily for 80-hour plans), even without assigned work. Hours renew sooner in months with more than 20 business days. Pre-approved days off are not deducted.

How do hour block renewals work for staffing services?

Hour blocks renew when the remaining hours only cover one or two more days of work, based on the employee’s regular schedule. In longer months, hours may be used up faster, leading to earlier renewal.

What holidays apply to nearshore staffing services?

Nearshore staffing observes eight U.S. holidays: New Year’s, Presidents Day, Martin Luther King Jr. Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas. Hours are deducted at the daily rate on these days, though VAs won’t work.

Can you provide on-site staffing placements?

No, our staffing services are exclusively remote.

Do I need to worry about overhead when hiring remote workers through your service?

No overhead concerns are necessary. We handle management and support, so you can focus on your business.
